New Zealand Grazing Company Ltd (“NZ Grazing”, “we”, “us” or “our”) respects your privacy and handles personal information in accordance with the Privacy Act 2020.
This policy explains how we collect, use, store and share personal information in connection with our website, services, contracts and business activities. It applies to owners, growers, prospective customers, contractors, suppliers, website visitors and other individuals we deal with.

2. Information we collect
We collect personal information reasonably necessary for our activities. This may include:

names, roles and contact details;

business, farm, property and billing details;

contract, service, transaction and account information;

payment, invoicing and credit information;

livestock, animal performance, movement, health and operational records where linked to an identifiable individual;

correspondence, enquiries, complaints and communication preferences; and

website and device information, such as IP address, browser type and pages viewed.
We usually collect information directly from you. We may also collect it from your representatives, owners, growers, credit reporting agencies, industry record-holders, veterinarians, advisers, public sources and other people or organisations authorised by you or permitted by law.
NZ Grazing is the agency collecting and holding this information at the address above. If we collect personal information about you from someone else, we will take reasonable steps to make you aware of the collection, its purpose, intended recipients and your access and correction rights, unless you are already aware or an exception under the Privacy Act applies. If a particular law authorises or requires the collection, we will identify that law where required.
3. How we use information
We may use personal information where reasonably necessary to:

manage stock and coordinate grazing and related services;

communicate with you and manage our relationship;

manage payments, invoicing, credit and debt recovery;

protect our legal rights and prevent unlawful activity; and

comply with legal and regulatory obligations.
If you do not provide information we reasonably require, we may be unable to respond to you, provide services, enter into or administer a contract, manage stock, process payments or meet our legal and operational obligations.
4. Service providers and disclosures
We use service providers to support functions such as cloud storage, email, customer management, accounting, communications, website operation and information technology. They may process personal information only as reasonably necessary to provide services to us. Where they process information solely on our behalf, NZ Grazing remains responsible for it as required by the Privacy Act.
We may also disclose personal information, where reasonably necessary for the purposes described above or otherwise permitted or required by law, to:

professional advisers, insurers and financiers;

credit reporting and debt collection agencies;

owners, growers, veterinarians and relevant industry record-holders involved in our services; and

government agencies, regulators, courts and law enforcement bodies.
We do not sell personal information or provide contact information to another organisation for its own direct marketing unless the individual concerned has specifically authorised us to do so.
5. Overseas processing
Some service providers may store or process personal information outside New Zealand or allow it to be accessed from overseas.
Where an overseas provider processes information solely on our behalf, we remain responsible for it as required by the Privacy Act. If we disclose personal information to an overseas organisation for its own purposes, we will ensure that the disclosure is permitted by the Privacy Act and that any required safeguards are in place.
6. Animal information and DIGAD
Animal information may be confidential and may also be personal information where it is linked to an identifiable individual.
Where authorised by the owner of the stock, we may provide NZ Animal Evaluation Limited, as manager of the Dairy Industry Good Animal Database (DIGAD), directly or through an approved data provider, with individual animal identification and associated performance data.
This animal-level data is not anonymised and may be linked with other animal records held in DIGAD. It may be used for animal evaluation, research and other industry-good purposes permitted under DIGAD’s governing rules. We do not include the stock owner’s name or contact details in the information we supply. Authority for this disclosure is obtained from the stock owner, not from the grower.
7. Aggregated and de-identified information
We may use and share aggregated or de-identified data for analysis, research, benchmarking and reporting. We will take reasonable steps to ensure that individuals, owners, growers, farms, properties and individual animals are not reasonably identifiable from information shared in this way.
This is separate from identifiable animal-level information supplied to DIGAD.
8. Communications and website use
We may send communications needed to respond to enquiries, provide services or administer our relationship with you.
We may send promotional electronic messages where permitted by law. These messages will identify the sender and include an unsubscribe facility where required. You may unsubscribe at any time, but we may still send necessary operational, contractual, safety or legal communications.
Our website may use cookies and similar technologies to operate securely, remember preferences, understand website use and improve performance. You can control cookies through your browser settings, although disabling them may affect website functionality.
9. Security and retention
We take reasonable safeguards to protect personal information against loss, unauthorised access, use, modification or disclosure. No system is completely secure, and we cannot guarantee absolute security.
We retain personal information only for as long as reasonably required for a lawful purpose, including providing services, maintaining records, resolving disputes and meeting legal obligations. When it is no longer required, we take reasonable steps to delete, destroy or de-identify it.
10. Access, correction and complaints
You may ask whether we hold personal information about you and request access to or correction of that information. We may need to verify your identity before responding.
Please contact our Privacy Officer using the details in section 1. We will respond in accordance with the Privacy Act. If we do not make a requested correction, you may ask us to attach a statement of correction to the information.
If you believe your privacy has been breached, please contact us so we can investigate. Where a privacy breach has caused, or is likely to cause, serious harm, we will notify affected individuals and the Office of the Privacy Commissioner as required by law.

11. Changes to this policy
We may update this policy to reflect changes in our practices, services or legal obligations. The current version will be published on our website with its effective date. Where a change materially affects information already collected, we will take any additional steps required by law.
